Planning an event is an incredibly complex thing to do. Not only do you have to organize people, attractions, food, drink, and more, but you also have to establish where the entire operation will take place. 

Nothing happens without the right location, so you have to be sure that you’re choosing well when it comes to a venue.

1. Cost

The first thing you can eliminate is the group of venues that falls too far out of your price range. 

Don’t always rule out the lower-cost venues, though, because you might find that they suit all of your needs and can free up money for you to exceed in other areas. 

If you’re having difficulty finding a venue for the right place, consider being flexible with dates, seeing as some places are far more expensive during specific times of the year. 

2. Atmosphere

A venue isn’t going to bode well if it doesn’t fit your brand or your persona. That is unless the venue has a lot of potential to be decorated and altered to fit your needs. 

Areas like the Midlothian Conference Center are versatile and can adjust to fit the needs of a lot of different organizations. On the other hand, something like a high school gym probably can’t accommodate too many modern organizations. 

So, be sure that you can confidently use the space to meet your needs and fit your brand.

3. Proximity to Accommodations

Is the location able to accommodate all of your guests even after they leave the event? Are people going to be staying overnight, and does the venue have options to help accommodate those people?

Is there parking for the volume of guests that you’re expecting? Guests should have a positive experience before, during, and after they set foot in the venue, so ensure that the surrounding area has options for them to sleep and park at the very least!

4. Maximum Capacity

This should go without saying, but make sure that you have enough space to comfortably contain the number of guests you expect?

The nature of your event will have an effect on the volume of people that a building can comfortably hold. For example, an all-day event with people coming in and out will require less space than an event that seats all of the guests at once. 

5. Communication and Staff

Make sure that the venue you work with has a staff that is communicative and helpful. You’ll be working directly with managers and other members of the staff, so a good relationship is crucial. 

Phone calls and preliminary meetings are excellent ways to get a feel for whether or not you could have a good working relationship with a particular staff.
